Barcode Cross-Reference & the Lookup System
The Barcode Problem
The barcode on a box rarely matches the part number in your DMS. A UPC on an AC-Delco carton, the code on a tire sidewall, an aftermarket package, a case of accessories — each uses its own numbering system. Scan one of those with a basic scanner and you get "not found."
ScanIt Parts solves this with the Lookup system: a cross-reference database that maps any barcode to the part number your dealer management system already uses. Scan the box, and ScanIt Parts returns the right part.
What the Lookup System Is
Lookup is a permanent, cloud-synced cross-reference table. Each entry links one barcode to one DMS part number. When you scan a part anywhere in ScanIt Parts — Receiving, Part Inquiry, Cycle Counting, Bin Changes, Returns — the system checks Lookup first and returns the matching part.
- 800,000+ cross-references preloaded so common UPCs work the day you start.
- Daily OEM updates. AC-Delco and Motorcraft cross-references pull automatically every day, so new part numbers are covered without any work on your end.
- Cloud-synced. Mappings live in the cloud, not on one scanner. Add a cross-reference once and every scanner and user at your store gets it.
- Dealer-specific. Your store keeps its own Lookup table. Your cross-references never affect another dealer.
Why this matters: a static text file of cross-references goes stale the day it ships. ScanIt Parts keeps Lookup live and growing — preloaded, auto-updated for major OEMs, and added to by your own team as you go.
How a Scan Uses Lookup
- You scan a barcode in any scanning function.
- ScanIt Parts checks the Lookup table for that barcode.
- If it finds a match, it returns the DMS part number and all the part information — bin, stock, cost, price.
- If it does not find a match, it offers to add one (see below).
Adding Your Own Cross-Reference
When you scan a barcode the system does not recognize, an Add to Lookup prompt appears. You enter the DMS part number for that item, save, and the mapping is stored for good. From then on, that barcode returns the correct part for everyone at your store.
Because Lookup covers anything with a barcode and a DMS part number, dealers use it for far more than parts:
- AC-Delco / Motorcraft UPCs beyond the daily feed.
- Tires — map the sidewall or label barcode to your DMS tire number.
- Accessories and merchandise — hats, shirts, branded items.
- Aftermarket parts — third-party manufacturer barcodes.
- Case or pallet barcodes — map bulk packaging to the individual part inside.
Add it once, benefit forever. The step-by-step for adding a cross-reference from the scanner is covered in Looking Up Parts & Add to Lookup.
What Makes It Different
Most barcode systems either can't cross-reference at all or rely on a static file you have to import and maintain by hand. ScanIt Parts treats Lookup as a living database:
- Preloaded, not empty. You start with 800,000+ mappings, not a blank table.
- Self-updating for major OEMs. AC-Delco and Motorcraft refresh daily.
- Shared instantly. A cross-reference added by one employee is live for the whole store in seconds.
- Works everywhere. One mapping serves Receiving, Part Inquiry, Cycle Counting, Bin Changes, and Returns.
Common Use Cases
Receiving Aftermarket Stock
A shipment of aftermarket filters arrives with UPCs that don't match your DMS. Scan one, add the cross-reference, and the rest of that item scans clean — now and every future shipment.
Counter Sale of an Accessory
A customer buys a branded jacket. Scan the retail UPC and, once it's mapped, ScanIt Parts pulls the accessory part number straight from your DMS.
Physical Inventory Speed
During a count, a preloaded and store-built Lookup table means far fewer "not found" stops. More scans land the first time, so the count moves faster.
